Build a Relocation Folder That Survives the Journey
A practical way to organise originals, certified copies, translations, and secure digital backups before departure.
The useful relocation folder is not the thickest one. It lets you identify the current version of a document, retrieve it under pressure, and understand whether an original must remain in your possession.
Separate by function
Use clear groups: identity and civil status; residence-route correspondence; employment or study; qualifications; health insurance; housing; finance; and arrival appointments. Add a one-page inventory with issue dates, expiry dates, language, and location of the original.
Treat name differences as questions
Transliteration, marriage, spacing, titles, and shortened names can produce inconsistencies across passports, degrees, birth certificates, and contracts. Do not alter documents yourself. Record each difference and ask the authority, employer’s counsel, or certified translator what supporting evidence is appropriate.
Carry with care
Keep irreplaceable originals in hand luggage, protected from moisture and separate from everyday papers. Store encrypted backups with controlled access. Avoid emailing full identity documents unless the recipient, purpose, retention, and transfer method are clear.
Check whether an authority requires a recent issue date, apostille, legalisation, certified copy, or certified translation. Requirements depend on document type and purpose; a copy accepted for one process may not be accepted for another.
